Letter of Agreement for Doula Services, Terms, and Fees

What is a Doula?

At Deep Roots Birth Collective, you will be cared for by a dedicated birth doula who walks beside you throughout your pregnancy, birth, and early postpartum journey. This personalized, concierge-style model ensures you receive not only professional expertise, but also the deep continuity and relational care that makes your experience truly supported.

Your doula provides emotional grounding, physical comfort, and a steady presence for both you and your partner. They bring education, perspective, and skillful guidance to help you relax, stay informed, and move through each stage of labor with confidence.

Before Labor:

Your doula will meet with your family unit before labor to:

  • Build relationship and understanding of family rhythms and birth preferences based on your values.

  • Discuss your non-negotiables, priorities, and any concerns or fears.

  • Explore pain and fatigue coping strategies for both partners.

Additional meetings can be arranged as needed. Communication is encouraged, especially within 24 hours of provider appointments, to address any questions or updates.

During Labor:

Notify your doula when you suspect labor has begun. Your doula will offer phone support initially to assess your labor patterns, then join you at an agreed-upon time and place—whether at home, a birth center, or the hospital. Please allow 1–2 hours for arrival. In cases of overnight induction or planned cesarean, your doula will join you upon check-in and remain available as desired by the client.

Labor Support

  • Continuous physical, emotional, and informational support. Please note, in the event that you require support beyond 20 continuous hours of labor, your primary doula will take a 4 hour break and you have the option to be supported by another doula from The Collective.

  • Assistance for partners with reassurance, suggestions, and labor insight/interpretation.

After Birth:

Your doula will remain with you until:

  • The placenta is delivered.

  • You are comfortable, settled, and at ease.

  • Initial breastfeeding is established.

Your doula will follow up the day after birth and schedule two postpartum visits to review the birth, answer any questions, unpack your birth story, and provide continued emotional support.

The Empowered Birth Package

Prenatal Support

  • Two in-depth prenatal consultations with the birthing couple.

  • Personalized birth planning session.

  • Tailored education on comfort measures, labor stages, and birth interventions for mother and baby.

  • Complimentary access to our virtual education: The No BS Birth Course.

  • Unlimited phone and text support from the time of hire.

  • Scheduled positive touch appointments to help you feel grounded and relaxed prior to delivery or during your postpartum recovery period.

Labor & Delivery Assistance

  • Continuous support during labor and delivery.

  • 24/7 on-call availability from 38 weeks.

  • Expertise in natural comfort measure techniques (massage, breathing, positioning, essential oils).

  • Advocacy to uphold your birth preferences.

  • Partner support to foster active participation.

  • If desired: raw, unedited birth photography or video captured on the client's device.

Immediate Postpartum Care

  • Support during the initial postpartum hours plus two additional postpartum visits.

  • Facilitation of parent-baby bonding.

  • Help transitioning home, if applicable.

  • Emotional support and postpartum mental health check-ins, with referrals as needed.

At Deep Roots Birth Collective, every doula on our team is trained within a holistic model of care, one that honors the physical, emotional, and spiritual wellbeing of each family we serve. We embrace a multi-disciplinary approach, maintaining trusted relationships with a wide range of local practitioners so our clients have access to thoughtful, integrative support throughout their journey.

Our commitment to holistic care extends beyond our clients, it's how we live. We believe that when we care for ourselves well, we can show up with greater presence, compassion, and joy for the families we support.

In addition, all doulas within our collective are Loss Literacy trained by Lauren Paz of A Soulful Sorrow. This specialized education deepens our capacity to walk tenderly with families experiencing pregnancy loss or pregnancy after loss, offering trauma-informed, heart-centered support with compassion, sensitivity, and understanding.

Service Limitations:

Your doula will not:

  • Perform clinical tasks (blood pressure checks, fetal monitoring, vaginal exams).

  • Make decisions for you. Instead, your doula will provide information to support informed choices.

  • Speak to staff on your behalf but will support you in voicing your needs.

  • Be responsible for siblings/minors during the birth event.

Fees & Payment

The Empowered Birth Package: $5,000

Non-refundable $500 deposit required to secure your due date window.

Full payment of $4,500 due at the first scheduled prenatal appointment or two payments of $2,250 split between two scheduled prenatal appointments.

Terms & Conditions:

Rapid Labor: If your doula cannot attend due to rapid labor and failure to communicate labor progress, the fee will be retained and alternative postpartum support arrangements will be made.

Late Cancellation: If you choose not to use your doula's services after 38 weeks or fail to call your doula during labor, the full fee is non-refundable.

Cesarean Section: In the case of a planned or emergency cesarean birth, the full fee remains applicable, cesarean support in the OR will be discussed and postpartum care will be provided as outlined above.

Agreement:

I have read and understand the terms outlined above and agree to the described doula services. The checkbox submission serves as my understanding and agreement to the services outlined above.
