Letter of Agreement for Doula Services, Terms, and Fees

What is a Doula Team?
At Deep Roots Birth Collective, every client is cared for by a doula duo — two dedicated doulas who walk beside you throughout your pregnancy, birth, and early postpartum journey. This personalized, concierge-style model ensures you receive not just professional expertise but also the deep continuity and relational care that makes your experience truly supported.
Together, your doulas provide emotional grounding, physical comfort, and a steady presence for both you and your partner. They bring education, perspective, and skillful guidance to help you relax, stay informed, and move through each stage of labor with confidence. Our doulas work for you — not for your provider or hospital — ensuring your voice and values are at the center of every decision.
Before Labor:
Your doulas will meet with your family unit before labor to:
Build relationship and understanding of family rhythms and birth preferences based on your values
Discuss your non-negotiables, priorities, and any concerns or fears.
Explore pain and fatigue coping strategies for both partners.
Additional meetings can be arranged as needed. Communication is encouraged, especially within 24 hours of provider appointments, to address any questions or updates.
During Labor:
Notify doulas when you suspect labor has begun. Your doula will offer phone support initially to asses your labor patterns, then join you at an agreed-upon time and place—whether at home, a birth center, or the hospital. Please allow 1-2 hours for arrival. In cases of overnight induction or planned cesarean, your doulas will join you upon check-in and remain on-call as desired by client.
Labor Support
Continuous physical, emotional, and informational support.
Assistance for partners with reassurance, suggestions, and labor insight/interpretation.
Facilitation of communication between you and your care providers.
After Birth
Your doulas will remain with you until:
The placenta is delivered.
You are comfortable, settled and at ease.
Initial breastfeeding is established.
Your doulas will follow up the day after birth and schedule 2 postpartum visits to review the birth, answer any questions, unpack your birth story and provide continued emotional support. See Postpartum offering for on-going postpartum care.
The Empowered Birth Package
Prenatal Support:
Two in-depth prenatal consultations with birthing couple.
Personalized birth planning session.
Tailored education on comfort measures, labor stages & birth interventions for mom and baby.
Free access to our virtual education: The No BS Birth Course
Unlimited phone and text support from the time of hire.
Scheduled positive touch appointments to help you feel grounded and relaxed prior to delivery.
Labor and Delivery Assistance:
Continuous support during labor and delivery.
24/7 on-call availability from 38 weeks.
Expertise in natural comfort measure techniques (massage, breathing, positioning, essential oils).
Advocacy to uphold your birth preferences.
Partner support to foster active participation.
If desired: raw & unedited birth photography or video taken on client device.
Immediate Postpartum Care:
Support during the initial postpartum hours + 2 additional postpartum visits.
Facilitation of parent-baby bonding.
Help transitioning home, if applicable.
Emotional support and postpartum mental health check-ins, with referrals if needed.
Customized Bodywork and Essential Oil Sessions:
Foot zoning, Lomilomi massage, and relaxation techniques tailored to support the birthing couple in the prenatal and postpartum season.
Personalized essential oil blends to support healing and emotional well-being.
Extended Postpartum Doula Care:
Deep Roots Birth Collective has a specialized postpartum doula available for hire should you want to prioritize those initial weeks with extra support. These offerings can be found on our website and a consultation can be booked to discover more.
Our Holistic Model of Care
At Deep Roots Birth Collective, every doula on our team is trained within a holistic model of care—one that honors the physical, emotional, and spiritual wellbeing of each family we serve. We embrace a multi-disciplinary approach, maintaining trusted relationships with a wide range of local practitioners so our clients have access to thoughtful, integrative support throughout their journey.
Our commitment to holistic care extends beyond our clients—it’s how we live. We believe that when we care for ourselves well, we can show up with greater presence, compassion, and joy for the families we support. Our doula-duo model allows us to share the workload intentionally, ensuring built-in support for one another and a sustainable rhythm that protects against burnout while keeping our care rooted in ease and genuine connection.
In addition, all doulas within our collective are Loss Literacy trained by Lauren Paz of A Soulful Sorrow. This specialized education deepens our capacity to walk tenderly with families experiencing pregnancy loss or pregnancy after loss, offering trauma-informed, heart-centered support with compassion, sensitivity, and understanding.
Service Limitations:
Your doulas will not:
Perform clinical tasks (e.g., blood pressure checks, fetal monitoring, vaginal exams).
Make decisions for you. Your doula will provide information to support informed choices.
Speak to staff on your behalf but will support you in voicing your needs.
Fees and Payment:
The Empowered Birth Package: $5,000.00
Non-refundable $500 deposit required to secure your due date window.
Full payment of $4,500 to be paid in full at first scheduled prenatal appointment or 2 payments of $2,250 split between 2 scheduled prenatal appointments.
By acknowledging and submitting this contract, the client acknowledges and agrees to these payment terms.
Accepted payment methods: Personal check, cash, or digital invoice to pay online. Please note, if digital invoice is requested a 3% Squarespace service fee will be charged for each transaction.

*Deposit payment can be dropped off at address above if scheduled within operating hours. Please contact your doula duo directly to schedule an in-person deposit drop off.
Terms and Conditions:
Rapid Labor: If the doula cannot attend due to rapid labor, the fee will be retained, and alternative postpartum support arrangements will be made.
Late Cancellation: If you choose not to use your doula’s services after 38 weeks or fail to call her during labor, the full fee is non-refundable.
Cesarean Section: In case of a planned or emergency C-section, the full fee remains applicable and postpartum care will be arranged.
